Integrate Jira Cloud with Gmail

The Jira Cloud for Gmail app helps you manage Jira work items without leaving Gmail. Effortlessly create work items from emails, view detailed information on hyperlinked work items, and edit or comment on them - all within your inbox. These features will help you transform email conversations into actionable tasks without context switching between apps.

Install the Jira Cloud for Gmail app to access the following features:

• Create work items using details from an email or with Atlassian Intelligence (AI)*

• View details of work items hyperlinked in an email.

• Edit and comment on work items within Gmail.

• Attach emails as comments to existing work items.
  
  *Atlassian Intelligence (AI) will need to be enabled for Jira sites and projects for users to have access to this feature. Users should be mindful when sharing sensitive data or information with the app when using generative AI to create work item summary and description fields.

Before you begin

To use the Jira Cloud for Gmail app, you need:

• A Jira Cloud account

• Access to a Jira site

• A Gmail account (personal* or Google Workspace)

• The Jira Cloud for Gmail app installed from the Google Workspace Marketplace
  
  *Note to admins: Atlassian permits users to link their personal email accounts to the Atlassian platform.

Install the Jira Cloud for Gmail app

1. Open Gmail in your browser and select the + icon in the right side panel.

2. Enter Atlassian in the Google Workspace Marketplace search bar.

3. Find the Atlassian app, select Install and follow the permission prompts.

4. Once installed, open any email and select the Atlassian icon in the sidebar.

5. Sign in with your Atlassian account to connect Gmail with your Jira site.

Create a work item from an email

1. Open an email in your Gmail inbox.

2. Select the Atlassian icon in the right vertical sidebar.

3. Select Create in the app side panel.

4. Select Use email body as description to include the email subject as the work item summary and email body content as the description

5. Or, select Use AI to generate description to create the work item summary and description fields with generative AI based on the email content.

6. Edit and review the work item fields then select Create in the pop-up window.
   
   Work items created using the app will be automatically attached to the source email. This means the app will detect and display any work items attached to an email in the app panel.

Edit or comment on a work item in Gmail

1. Open an email in your Gmail inbox.

2. To find existing work items select Find in the app side panel.

3. Paste a link to a Jira work item in the input field and select Find.

4. The work item will appear in the app side panel.

5. Select Edit to update and comment on the work item in the pop-up window.

6. Hyperlinked work items will automatically appear in the app side panel. Select a work item and follow step five to edit it.

Attach an email to an existing work item

1. Open an email in your Gmail inbox.

2. To find existing work items select Find in the app side panel.

3. Paste a link to a Jira work item in the input field and select Find.

4. The work item will appear in the app side panel.

5. Select Attach email.

6. Select Attach to include the email content as a comment to the work item. The comment field can’t be edited.

Uninstall the Jira Cloud for Gmail app

1. Open Gmail in your browser and select the + icon in the right side panel.

2. Enter Atlassian in the Google Workspace Marketplace search bar.

3. Find the Atlassian app and select Uninstall to remove the app.
